EASY TO USE, POWERFUL FUNCTIONALITY

Vacancy Lab’s dashboard gives you simple, searchable access to available data on all your candidates, clients and vacancies.

The customisable, spreadsheet-style user-interface can be configured to only show the information users need in an accessible grid-based layout. The database itself is also configurable, with the option of adding fields of information in the format of plain text, dates and yes/no tick boxes.

To facilitate applicant tracking, details on each candidate are held in a single record along with a log of communication. This means consultants can see a candidate’s current status, review their CV and skills, look up recent activity, see the jobs they have been linked to, and more.

Multiple search tools support the shortlisting process, from a quick database scan to a thorough evaluation of individual suitability. Candidates can be identified based on their location using postcode search, and you can also register preferred working locations and see if a vacancy is within commuting distance.

Vacancy Lab also organises client information into a single, fully-searchable record. This includes any documentation, their specific recruitment requirements, contact details, and a record of incoming and outgoing emails and even SMS messages.

QUICK TO DEPLOY, SIMPLE TO INTEGRATE

Whether you decide to host Vacancy Lab on secured office servers or via the cloud, users are up-and-running fast and with minimal disruption.

The software plugs in to your CMS, facilitating direct job posting to your website and enabling candidates to register themselves online.

It also integrates with your social media channels and with third-party platforms such as Broadbean or JobMate, where automatic job posting to a full range of sites – complete with analytics – can be accessed simply by entering your username and password.

Integration with Microsoft Exchange Server means the system can also be used to send email, while integration with a number of SMS gateways enables mobile communication with candidates or clients. All messages are logged against the appropriate record for future reference.

SMARTER WORKING,
MORE PRODUCTIVE STAFF

With the advantage of automation, Vacancy Lab accelerates consultant activity and lets you work smarter. Specific tasks can be automated on the basis of triggers – for example, creating reminders when a candidate's status is updated or generating an email when a new contact is added.

With automated candidate profiling, you can drag and drop a CV file into your browser window and Vacancy Lab’s powerful processing engine will scan the document for relevant contact details, personal information, employment history and skills. With automated document creation, you can avoid repetition by creating a single template and letting the system populate the rest.

Customisable email templates enable mailshots to be quickly created and sent to clients and candidates. You can also use templates to create custom-designed agency CVs, presenting candidates to your clients in a more professional, standardised format.

And because you can access Vacancy Lab from any internet-connected device, consultants can use the software and maintain productivity while on the move.

MANAGE ACTIVITIES, TRACK PERFORMANCE

Vacancy Lab provides recruitment consultants with a reliable platform to co-ordinate their day-to-day activities.

Diary functionality means they can schedule reminders and keep on top of to do lists. The system supports email and SMS messaging, and also uses browser-based click-to-call plug-ins to enable consultants to call candidates and clients directly.

As well as detailed information on placements made and their value, Vacancy Lab monitors a broad range of metrics, such as how many interviews have been set up, who is making the most business development calls, or who is picking up the most vacancies.

Managers can use Vacancy Lab to set consultant targets and access real-time performance data via the dashboard, with the option to share the information to an office screen for at-a-glance team performance updates.
